Basic Modules of an ERP System

ERP Business Modules: An Introduction

ERP systems integrate core business processes—including financials, human resources, manufacturing, and supply chain—into a single, unified database.

1. Financial Management Module

This module is the backbone of the ERP system, managing all financial transactions and reporting, ensuring compliance and accuracy across the organization.

Key Functions

  • General Ledger (GL): Central repository for all accounting data.
  • Accounts Payable (AP): Managing money owed by the company to external vendors (invoices, payments).
  • Accounts Receivable (AR): Managing money owed to the company by customers (billing, collections).
  • Fixed Assets: Tracking the value, depreciation, and location of long-term assets.
  • Budgeting and Forecasting: Tools for financial planning and performance analysis.

2. Human Capital Management (HCM) Module

Often referred to as Human Resources (HR), this module manages all aspects related to employees, from recruitment to retirement.

Key Functions

  • Payroll: Calculating and processing employee compensation, deductions, and taxes.
  • Personnel Management: Maintaining employee records, job history, and personal information.
  • Recruitment and Onboarding: Managing the hiring process and integrating new employees.
  • Time and Attendance: Tracking employee work hours and absence management.

3. Supply Chain Management (SCM) Module

SCM covers the movement of goods and materials from suppliers through production to customers, optimizing efficiency and logistics.

Key Functions

  • Procurement/Purchasing: Automating the acquisition of raw materials or inventory (including vendor management and purchase order processing).
  • Inventory Management: Tracking stock levels, storage locations, and movement of goods to prevent shortages or overstocking.
  • Warehouse Management (WMS): Detailed control over warehouse operations, including picking, packing, and shipping.
  • Logistics and Transportation: Planning and execution of delivery routes and freight management.

4. Manufacturing and Production Module

Crucial for businesses that produce goods, this module manages the entire manufacturing process from planning to finished product.

Key Functions

  • Material Requirements Planning (MRP): Calculating the quantity and timing of materials required for production.
  • Bill of Materials (BOM): Defining the list of raw materials, sub-assemblies, and components needed to manufacture a product.
  • Shop Floor Control: Managing and monitoring the production activities on the factory floor.
  • Quality Control: Ensuring products meet defined quality standards throughout the process.

5. Sales and Customer Relationship Management (CRM) Module

This module handles all customer-facing activities, from initial lead generation to post-sales support.

Key Functions

  • Sales Order Management: Processing customer orders, including pricing, availability checks, and order fulfillment integration with SCM.
  • Lead and Opportunity Tracking: Managing the sales pipeline from prospect identification to closing.
  • Customer Service and Support: Handling inquiries, logging cases, and tracking service history.
  • Marketing Campaigns: Planning and tracking the effectiveness of marketing efforts.
